# Plan and manage sessions

> Check availability and river information, schedule a crew, manage changes and give feedback.

You need the club admin or owner role. Before planning, [create a crew and add its members](/organisers/crews-and-lineups). Register any [equipment](/equipment/bookings) you need and add a [course](/organisers/courses) for a water session.

## Check availability and river information

Open **Crews**, select the crew and choose **Schedule**, then **Calendar**. Navigate to the week you want to plan.

Open **Layers** to choose what appears alongside sessions:

| Crew busy times        | Personal busy blocks for crew members, including their notes.                |
| Hours of darkness      | Darkness periods from the lighting schedule.                                 |
| Cam Conservancy events | Events from the Cam Conservancy calendar.                                    |
| Rule 11 side           | The available restriction schedule for Open or Women. Choose Off to hide it. |

  River layers are planning aids. An empty calendar does not establish that rowing is permitted or safe. Check the current river notices and your club's requirements before going out. The Rule 11 schedule currently included in Blades only covers dates between 30 April and 16 June 2026; it does not establish restrictions outside that period.

The busy-time layer shows recorded commitments, so ask members to keep their availability current. Check equipment availability in **Bookings** before choosing a boat.

For the club's overall programme, open **Sessions** in the sidebar. For one crew's records, switch its **Schedule** between **Calendar** and **List**.

## Create a session

    In the crew calendar, select or drag across a time period to open **Add Session**. You can also use the add-session action.

    Check the date, start and end times. The end must be after the start on the same day. Turn on **Set Push-off/first pull** if you need a separate time within the session.

    The creation form includes shortcuts for lighting down and lighting down plus 15 minutes. Check the resulting time against the date and current rowing restrictions.

    Choose water or land for **Type**. Select a course for a water session. Add a title and write the instructions in **Outing Plan**.

  <Step title="Set the assignments">
    Choose a saved lineup or build the assignments in the form. Add equipment, select participants and assign seats or coaching roles as needed. A session needs assignments before you can save it.

    Selecting a lineup copies its assignments. Adjust them for this outing without changing the saved lineup.

  <Step title="Review and save">
    Check the times, course, equipment and every assignment warning. Save, then open the session from the calendar to review the result.

    Assigned members can now find it in **My sessions**. Blades also creates equipment reservations and participant busy time for the session.

There is no repeating-session control. Create each session separately, reusing a lineup where useful.

## Check warnings before saving

Assignment indicators can warn that a participant is busy or that their profile does not match the seat or coaching role. Inspect the warning for the reason and change the assignment or check the profile with the member.

Review equipment bookings yourself. Saving a session through a form does not provide the same conflict enforcement as moving it on the calendar. A successful save is not proof that every participant or boat is free.

## Check read receipts

Open the session or review its assignments to see who has marked it as read. A read receipt means the participant has read the current details. It is not an attendance confirmation.

If you need an answer about attendance or a late change, use your club's usual contact channel.

## Change a session

Open the session and choose **Edit Session** to change its details or assignments. Save, then review the result. Blades updates the related equipment bookings and participant busy time and clears the read receipts.

You can also drag a session on the calendar to reschedule it. The move preserves its duration and the offset of its push-off time. Calendar moves check equipment conflicts and reject a move that cannot be saved. If a move fails, check the error and choose another slot.

Edit session-owned bookings through the session, rather than trying to move them on the equipment timeline.

## Give feedback

1. Open the session and find its feedback panel.
2. Use the recipient selector. Choose **Session** for everyone assigned to the session, or choose one participant for individual feedback.
3. Enter the message, check its recipient and select **Send**.
4. Check that the message appears with the intended recipient.

Members see session-wide notes and their own individual notes. Club organisers can review the session's feedback. You can also open a member's feedback from their row in **Members**.

The current feedback interface does not offer editing or deletion of individual messages. Check your message before sending it. Members read feedback but do not reply through this interface.

## Delete a session

Open the session and use **Delete Session** when the session should be removed. There is no separate cancellation workflow.

  Deleting a session also removes its assignments, equipment reservations, participant busy time, feedback and read receipts. This action cannot be undone. Tell participants through your club's usual channel if an expected outing will no longer take place.
